Privacy Policy

At Vanguard Studio, we respect your privacy and process all client project inquiries with strict confidentiality.

Information Collection and Purpose: We collect the name, email address, business details, project notes and selected scope or estimates that you submit through our contact forms or direct emails to sean.rcarlos@gmail.com. We use these details to follow up on your inquiry, discuss your website scope and prepare proposals. We do not sell your information to data brokers.

Storage and Notifications: Our online inquiry form stores your submission in a private PostgreSQL database on our server. A self-hosted n8n workflow sends an inquiry notification through Gmail to our administrator. The database and automation editor are not publicly accessible.

Inquiry Retention: Database inquiry records and associated notification queue records are retained for 90 days from submission, then automatically deleted by daily cleanup. An active notification dispatch may be briefly deferred until its lease ends. Notification emails are managed separately in Gmail and remain there until manually deleted by the administrator; archiving removes them from the inbox but does not delete them.

Backup Retention: Managed local database, automation-state and configuration backups are retained for 30 days, then automatically deleted by daily cleanup. A deleted inquiry may remain in an older backup until that backup expires. If a backup is restored, expired inquiry records must be cleaned before processing resumes.

Delivery Providers and Fallbacks: Gmail processes notification emails. If JavaScript is unavailable, the existing form fallback uses FormSubmit; our separate chat attachment delivery also uses that provider. If online submission fails, you may send the prepared inquiry using your email application. Provider-held data is subject to the provider's policies and is not deleted by our database cleanup.

Security: Online submissions use HTTPS encryption in transit. Database access is restricted to the server, and the automation webhook requires a private authentication token. Please do not submit passwords, payment details or other sensitive credentials.
